Terms of Service
These terms govern your access to TrackALetter and your use of its mailing-label, payment, Balance, and account tools.

Independent service
TrackALetter is an independent software service. It is not the United States Postal Service, Pitney Bowes, another carrier, or a government agency, and those organizations do not endorse TrackALetter. Mailing, payment, email, and infrastructure services may be provided through independent third parties.
USPS, United States Postal Service, First-Class Mail, USPS Tracking, Pitney Bowes, and related names and marks belong to their respective owners. Their use identifies mailing services, provider technology, or compatibility and does not imply sponsorship or endorsement.
Your account
You must provide accurate account information, protect your sign-in credentials, and promptly report suspected unauthorized access. You may not sell, transfer, share, or allow unauthorized use of your account.
Mailing information and compliance
You are responsible for each recipient and return address, mailpiece type, service selection, weight, dimensions, packaging, contents, and other information you submit. You must comply with applicable law and current USPS and provider rules, including restrictions on hazardous, prohibited, and restricted materials.
Incorrect or incomplete information can cause rejection, delay, return, loss of tracking visibility, additional postage, or other provider action. TrackALetter may refuse a transaction that appears inaccurate, unsafe, abusive, or unsupported.
Payments, postage, and service fees
When you confirm a purchase, you authorize the displayed total. The total may include postage charged through a mailing provider and a separate TrackALetter service fee. Stripe processes eligible card and wallet payments, as well as authorized bank Balance reloads. TrackALetter does not store full card numbers, CVCs, or raw bank account details.
TrackALetter Balance
Balance may be used only for eligible purchases within TrackALetter. It is not a bank account, stored-value account for general use, or transferable currency. Balance cannot be transferred to another user or withdrawn as cash, except where applicable law requires a different result.
Bank reloads are pending and unavailable for label purchases until the payment processor confirms success. A failed or returned bank reload may be removed or reversed. If a return creates a negative Balance, new label purchases may be blocked until the amount is repaid.
Bank Balance Pricing applies only when cleared bank-funded Balance covers the entire label total. It changes only the TrackALetter service fee; provider postage is not discounted. Card-funded Balance and direct card/Link checkout use their separately disclosed service fees.
Auto-refill consent
Auto-refill remains off unless you add an eligible payment method, select an available threshold and refill amount, review the authorization, and expressly enable it. You authorize the selected refill charges while auto-refill remains enabled. You may disable auto-refill through your account settings.
A saved payment method may be used only for charges you authorize, including an enabled auto-refill under the settings shown to you. It is not authorization for unrelated charges, postage adjustments, or transfers outside TrackALetter.
Postage adjustments
USPS or a mailing provider may report an Automated Package Verification (APV) or other postage adjustment after purchase based on actual weight, dimensions, mailpiece type, origin, or use. A matched underpayment may debit available Balance, while a matched overpayment may credit Balance.
If available Balance cannot cover a matched underpayment, the item may be placed in administrative review and account or purchasing access may be limited until it is resolved. TrackALetter may correct an erroneous debit or credit when supported by provider records.
A saved payment method is not charged for an APV or postage adjustment unless you have separately and explicitly authorized that behavior. Current auto-refill consent does not authorize an automatic saved-card APV charge.
Refunds
Refund requests and any movement of customer funds are governed by the Refund Policy. Refunds are not guaranteed and can depend on label use, tracking activity, provider eligibility, and provider review.
Acceptable use
The Acceptable Use Policy is incorporated into these terms. You may not use TrackALetter for unlawful mailing, fraudulent postage, payment abuse, unauthorized access, scraping, service disruption, or other prohibited activity.
Privacy
The Privacy Notice explains how TrackALetter handles account, shipment, payment, support, and diagnostic information.
Service availability and changes
The service may depend on third-party providers, carrier systems, network access, and maintenance. Features may change, pause, or become unavailable. TrackALetter may update these terms by posting a revised version and date where permitted by law.
Suspension and termination
TrackALetter may restrict, suspend, or terminate access; refuse a transaction; or preserve relevant records when reasonably necessary to address suspected fraud, prohibited activity, security risk, provider requirements, unpaid amounts, legal obligations, or material violations of these terms. You remain responsible for obligations arising before suspension or termination.
Warranty disclaimer
To the fullest extent permitted by applicable law, TrackALetter is provided on an "as is" and "as available" basis. TrackALetter does not guarantee uninterrupted availability, carrier acceptance, delivery timing, tracking scans, or a particular mailing outcome.
Limitation of liability
To the fullest extent permitted by applicable law, TrackALetter is not liable for indirect, incidental, special, consequential, or punitive damages, carrier delays, delivery outcomes, or losses caused by inaccurate user-provided information. Rights that cannot lawfully be limited remain unaffected.
Indemnity
To the extent permitted by applicable law, you agree to defend, indemnify, and hold TrackALetter harmless from third-party claims, losses, liabilities, and reasonable costs arising from your unlawful use of the service, prohibited contents, inaccurate mailing information, or violation of these terms or incorporated policies.
Dispute resolution
Before filing a claim, contact support with a description of the concern and allow a reasonable opportunity for informal resolution. If the matter is not resolved, either party may pursue an available claim in a court with jurisdiction. Nothing in these terms prevents an eligible small-claims filing or limits a right or remedy that cannot lawfully be waived.
Governing law and venue
These terms are governed by the laws of North Carolina, without regard to conflict-of-law rules, except where applicable consumer law requires otherwise. Subject to rights that cannot be waived, claims must be brought in a state or federal court with jurisdiction in North Carolina, and each party consents to that jurisdiction and venue.
