Refund Policy

This policy explains how label cancellation requests, provider review, payment refunds, Balance credits, and postage adjustments are handled.

Refunds are not guaranteed

Submitting a cancellation or refund request does not guarantee approval. Eligibility depends on label type, label status, provider rules, USPS rules, tracking or scan activity, and the results of provider review.

Request window and unused-label requirement

When available, the in-app Cancel label / Request refund action is offered for a limited period after creation. The current request window is one hour. A label must remain unused while a request is pending.

A refund may be denied if a label is used, mailed, scanned, accepted, altered, expired, duplicated, or otherwise ineligible under provider or USPS rules.

Package labels

Package cancellation requests are submitted for provider review when supported. Customer funds are not moved merely because a request was submitted. An eligible refund is processed only after the provider reports an accepted result or another verified resolution applies.

Letter and Flat labels

Customer cancellation and refund requests are not available for Letter and Flat labels in TrackALetter v1. Eligible TrackALetter letters and flats include barcode-based machine-scan tracking. Scan events can show movement through USPS automated sorting equipment and may show delivery-related updates. Scan coverage can vary, events may be skipped or delayed, and this is not Certified Mail, signature confirmation, or guaranteed legal proof of delivery. Packages use supported carrier tracking where available. The limited scan visibility can make use and eligibility harder to confirm.

Provider review timing

Provider review and transaction-report confirmation may take time. TrackALetter cannot promise a specific approval date. Review the status in History and avoid creating a replacement transaction unless the application clearly instructs you to do so.

Stripe refunds

When an eligible pay-per-label refund is processed through Stripe, it normally returns to the original payment method. Bank and card processing timelines vary. TrackALetter cannot redirect a Stripe refund to a different card or account.

A failed Stripe refund may require customer-support review. If the application reports a refund failure, contact support with the order ID instead of submitting repeated requests.

Postage and TrackALetter service fees

Provider postage and the TrackALetter service fee are separate parts of a label purchase. A provider's acceptance of a postage refund does not automatically require a refund of the TrackALetter service fee. Service fees are not automatically refunded unless the transaction flow expressly provides otherwise, TrackALetter approves another remedy, or applicable law requires a refund.

Balance-paid purchases

An eligible refund for a Balance-paid purchase is credited back to the user's TrackALetter Balance after the required provider confirmation. Balance is not withdrawable as cash and is not transferable to another user, except where applicable law requires a different result.

Bank reloads are not available to spend while pending. Failed bank payments remove the pending reload without creating spendable Balance. A bank return or final ACH dispute after success reverses the related bank-funded Balance and may create a negative Balance if those funds were already spent.

Postage adjustments and APV

USPS or a provider may report an APV or other postage adjustment after purchase. Adjustments are separate from cancellation requests and may result in a Balance debit, Balance credit, dispute record, or manual review.

A matched underpayment may debit available Balance. A matched overpayment may credit Balance. If available Balance cannot cover an underpayment, TrackALetter may place the item in administrative review rather than charging a saved payment method.

Saved payment methods are not charged for APV or postage adjustments unless the user has separately and explicitly authorized that behavior. Enabling auto-refill does not authorize an automatic saved-card APV charge.

Hosted Sandbox Beta

During Hosted Sandbox Beta, test labels are not production postage and test payments or refunds do not move real money. Sandbox provider results may differ from production behavior.
